Program Manager

Infinite Leap has an opportunity for a talented Program Manager to join our Professional Services Team in New York City.   • Provide oversight and support for all operational activities in support to the Real-Time Enterprise Visibility (EV) initiative
  • Acts as a leader and consensus builder for broad, multidisciplinary groups including the clinical community, other hospital departments, and IT analysts as appropriate, clearly communicating and translating information and concepts between and across the different groups and driving outcomes
  • Collaborate on system specifications and workflow documents for new projects and/or features and maintains/updates existing specifications and project documents for complex clinical initiatives that include technical details, user expectations, project goals, work effort, accountability, and deliverables
  • Drives system optimization and enhancements and collaborates with vendors and IT analysts in order to design and implement solutions
  • Interface with customer assigned Executive Project Sponsors and Project Managers and be the single point of contact on-site for RTLS related inquiries
  • Meet with project champions and key stakeholders regularly to ensure project requirements and goals are clearly defined, action items are sufficiently communicated and coordinated, and project information is distributed to all stakeholders and EV team members thoroughly and efficiently
  • Develop project plans and update them frequently to accurately reflect the current status of tasks, projected and actual start/finish schedule dates, and assignments
  • Assess and manage project risk with team members to find confident mitigation strategies to ensure project success
  • Coordinate go-live planning, preparation, and user training for each project, as well as assist in post go-live support activities
  • Ensure project documents are complete, current, and stored appropriately
  • Provide custom reporting as necessary to stakeholder by gathering, merging, and formatting data to support analysis
  • Manage daily administration and assigning tasks for on-site staff, subcontractors, and vendors as needed
  • Coordinate and manage service request and support request processes in support of the EV RTLS solution
  • Plan, develop, and manage the department budget, ensuring all costs are accounted for during planning and the department stays within the allocated budget at all times
  • Develop and communicate periodic status reports (weekly, monthly, and annual) to the appropriate stakeholders
  • Collaborate with the client’s internal communications and marketing departments to promote and publicize new projects or successful projects to both internal stakeholders as well as externally to the public
  • Baseline all key metrics for each project, project ROI/value to be derived, measure results against goals, and report out the ROI/value analysis periodically
  • Ensure all contractual requirements with the client are being met to ensure legal compliance, such as service response times, regulatory compliance, and other requirements
  • Ensure all on-site team members have appropriate training and skills to successfully achieve the duties of their role
  • Communicate and escalate any issues, concerns, or positive feedback to the appropriate Infinite Leap team members
  • Ensure the client is highly referenceable and achieves the target Net Promoter Score of 9 or 10 out of 10 as measured each quarter
  • Facilitate site visits and tours as requested
  • Support the Infinite Leap client success manager by identifying potential new opportunities to increase the client satisfaction and/or increase the value realized
  • Coordinate the execution of technology and process improvement projects to achieve the desired result with the given resources on time and within budget
  • Assist and coordinate with facilities and subcontractors on new construction projects with RTLS infrastructure
  • Assist with the deployment, documentation, training,  and testing of the RTLS sensory network devices and applications to support enterprise initiatives
  • Respond to support calls/emails during work hours and during after-hours on-call assignments
  • Keep clients, subcontractors, vendors, and management team informed of current progress, schedule concerns, budget concerns. Elevate issues to leadership and project team leaders as required
  • Participate and conduct required meetings and deliver progress and overview presentations as needed
  • Some evening and weekend work, on occasion to meet deadlines, should be expected
  • Other duties as assigned or tasks related to installing, supporting, and maintaining the real-time locating system


  • Requires Bachelor degree in business, computer science, information systems, clinical field or related discipline.  An advanced degree is preferred
  • Five years experience in a healthcare enterprise system
  • Five or more years in a project management role or technical project manager in which widely accepted project management principles and best practices are utilized.
  • Experience working in healthcare environment and executing IT projects
  • Maintain confidentiality and comply with Health Insurance Portability and Accountability Act (HIPAA) requirements
  • Comfortable navigating all areas of hospital system including patient rooms.
  • Will occasionally work around or with potential biological hazards.  Proper personal protective equipment will be worn in accordance with medical center policy and procedures
  • Some area travel required between local sites. Must have a valid driver’s license and means of transportation
  • High level of proficiency with project management software, reporting tools, and standard office applications

  • Comply with required immunizations and health testing


Preferred Qualifications
  • Certification in project management. Six Sigma, Lean, or Project Management Professional (PMP) strongly preferred
  • Two or more years implementing and supporting enterprise visibility and real-time locating systems (RTLS) in a healthcare environment
  • Knowledge of IT systems and connectivity
  • Knowledge of nurse call systems beneficial
  • Experience with hardware and software troubleshooting
